Payroll & HR Assistant
POSITION SUMMARY
Assist and support the HR department with payroll, recruiting, and onboarding, as well as provide administrative support to the HR management team as needed.
RESPONSIBILITIES AND DUTIES
- Process payroll maintenance, monitor time records, maintain reports, handle tax-related tasks, and support payroll audits. Ensure payroll back-up procedures are current and train the designated back-up to process payroll monthly.
- Maintain time-off balances (vacation, sick, floating holidays) and report data to supervisors.
- Serve as a welcoming and responsive first point of contact for HR.
- Communicate clearly and proactively to keep employees informed.
- Provide empathetic, flexible, and timely support to staff and visitors.
- Handle mail, draft/edit communications, coordinate meetings, maintain files, take meeting minutes, and process HR-related payments.
- Serve as primary back-up to corporate receptionists as needed.
- Assist with updates to the employee handbook and HR policies across internal platforms.
- Post job openings, schedule interviews, and coordinate candidate travel/accommodations when required.
- Maintain employee directories, service milestones, Bureau of Labor Statistics reporting, and internal HR tracking (e.g., Sharing Fund, United Way).
- Support onboarding (scheduling orientation, ordering nameplates/badges, ADP training) and offboarding (exit interviews, surveys).
- Coordinate recognition programs (service awards, memorials, gifts) and assist with HR event planning.

QUALIFICATIONS
Education:
High school diploma or equivalent required, some college preferred
Experience:
- Minimum of 2 years’ experience in Human Resources is required; payroll experience is desired
Skills and Abilities:
- Basic working understanding of HR functions, practices, and procedures
- General understanding of employment-related laws and guidelines (EEO, FMLA, ADA, etc.)
- Excellent organizational and time management skills and attention to detail
- Excellent written and verbal communication skills with strong aptitude for written correspondence (including composing, punctuation, grammar, and proofreading)
- Intrinsically resourceful in solving problems and finding solutions
- Strong initiative in anticipating and handling next steps in a process; self-starter
- Strong proficiency in Microsoft Office Suite or similar software
- Ability to function well in a high-paced and occasionally stressful environment
- Ability to maintain confidential information
